Solexa.ai ("Solexa," "we," "us," or "our") is committed to protecting the privacy of our clients and their data. This Privacy Policy explains what information we collect, how we use it, and what we do not do with it. By using our platform, you agree to the practices described here.
The short version: We store only what is necessary to operate your account — your agency profile, team information, login credentials, and branding assets. We do not read, store, sell, or share any documents you upload, any carrier data you process, or any insured information extracted during your use of the platform. That data is processed and returned to you. Nothing from your transactions is retained.
1. Information We Collect
Solexa.ai collects two distinct categories of information, which we treat very differently:
Client account data (stored for the life of the service relationship):
- Agency name, address, phone number, and license number
- Team member names, titles, phone numbers, and email addresses
- Login credentials (usernames and securely hashed passwords)
- Branding assets uploaded during onboarding (logo, cover image, title image)
This information is stored solely to deliver the service — generating properly branded proposals requires your agency identity and assets to be on file. It is never sold, shared with third parties, or used for any purpose other than operating your account.
Transaction data (never stored — pass-through only):
- Carrier quote PDFs and other documents you upload for processing
- Data extracted from those documents (insured names, limits, premiums, coverage details)
- Generated proposal documents
- Loss run data, vehicle schedules, and any other insured or carrier information
Transaction data is processed entirely in memory. Documents are transmitted to our AI processing service, the structured output is returned to your browser, and your proposal is generated and streamed directly to you. Nothing from this process is written to disk or retained after your session ends.
Server logs (operational only):
- Timestamp of each request
- Username (which user performed the action)
- Action type (extract, generate, compare, etc.)
- Processing duration and estimated token usage
- Output type (PDF or Word) and document count
Server logs contain no document content and no insured or carrier data. They are used solely to monitor platform health, diagnose errors, and measure usage for billing purposes.
Contact form (solexa.ai website only): If you submit an inquiry through the contact form on our public website, we collect your name, email address, and message. This is delivered to our inbox. We use this information only to respond to your inquiry.
2. How We Use Information
Client account data (agency profile, team, credentials, branding assets) is used exclusively to deliver the service — your agency name and logo appear in generated proposals because you provided them for that purpose. This data is never used for marketing, advertising, analytics, or model training.
Server log data (timestamp, user, action, duration, token count) is used solely for operational monitoring — confirming the platform is functioning correctly, diagnosing errors, and measuring usage. This data contains no document content and cannot be used to identify any insured, carrier, or prospective client.
We do not use any data from the platform for marketing, advertising, analytics, model training, or any purpose other than operating the service.

Document analysis is performed using an enterprise AI API. Documents are transmitted for processing and the response is returned to our server to generate your output. Our AI provider does not use API-submitted data to train its models by default.
No document data is retained by Solexa.ai following the completion of your request.

Solexa.ai uses the following categories of third-party services in delivering the platform:
- AI processing — Document analysis is performed via an enterprise AI API. Our provider does not use API-submitted data for model training by default.
- Cloud infrastructure — Platform hosting on enterprise-grade infrastructure with SOC 2 Type II certification and encrypted storage.
- Business communications — Email and internal communications tools used to operate the business. Not connected to the platform in any way.
We do not use advertising networks, analytics platforms, tracking pixels, or any third-party services that collect data about your use of the platform.
6. California Privacy Rights
Solexa.ai operates under the laws of the State of California. We store client account data (agency name, contact information, team details, and branding assets) solely for service delivery. We do not sell this information or share it with third parties for commercial purposes.
Under the California Consumer Privacy Act (CCPA), you have the right to request access to, correction of, or deletion of your client account data. Because we do not retain any transaction data (carrier documents, insured information, or extracted data), there is nothing of that nature to access or delete.

The Solexa.ai platform is intended exclusively for use by licensed insurance professionals and authorized business users. We do not knowingly collect any information from individuals under the age of 18.

We may update this Privacy Policy from time to time to reflect changes in our practices or applicable law. Material changes will be noted with an updated effective date at the top of this page. Continued use of the platform after such changes constitutes acceptance of the revised policy.
